Almost every independent trainer starts the same way: a spreadsheet for students and payments, and a WhatsApp group for everything else. It is free, everyone already has it, and it works, until it doesn’t. This is an honest look at when that setup is enough and when a dedicated app starts paying for itself.
What the spreadsheet + WhatsApp setup does well
- It costs nothing and needs no learning.
- Everyone is already on WhatsApp, so announcements reach people instantly.
- It is flexible. You can add any column you like.
If you coach one small group, collect payments monthly and rarely change the schedule, this may genuinely be all you need.
Where it starts to hurt
- Class packs drift. Attendance lives in one place and balances in another, and they stop matching.
- Everyone sees everyone. In a WhatsApp group, members see each other’s phone numbers.
- Capacity is guesswork. “Who’s coming Thursday?” polls do not stop a session from being overbooked.
- Information gets buried. The schedule change from Monday is 200 messages up by Friday.
- Students ask you everything: how many classes they have left, what time tomorrow is, where to meet.
Side by side
| Spreadsheet + WhatsApp | Class management app | |
|---|---|---|
| Cost | Free | Free plan, then a monthly fee |
| Attendance | Typed in later | Ticked at the session, or QR self check-in |
| Class packs | Updated by hand | Deducted automatically on attendance |
| Capacity | Polls and good will | Bookings with an automatic waitlist |
| Privacy | Members see each other’s numbers | Each student sees only their own record |
| Student questions | Answered one by one | Students check their own balance and schedule |
A sensible way to switch
- Start with your busiest group, not all of them.
- Import your student list from the spreadsheet (CSV) instead of retyping it.
- Keep WhatsApp for chat if your group likes it, and move schedule, bookings and balances to the app.
- Take attendance in the app from the first session, so balances are right from day one.
Where Bootcamp Tracker fits
Bootcamp Tracker is built for exactly this step: groups and students, sessions with capacity and waitlists, attendance with QR check-in, class packs that deduct themselves, and a student view so people stop asking how many classes they have left. There is a free plan to try it with one group. We go deeper in the spreadsheet and WhatsApp alternative for trainers.
