How to take attendance for bootcamps and group fitness classes

October 28, 2026 · 4 min read

Taking attendance sounds trivial until you are standing in a park at 7 am with twenty people, a stopwatch and cold hands. Yet attendance is the data everything else depends on: class-pack balances, who is drifting away, which time slots work, and whether you are getting paid for every class you teach.

Four ways trainers take attendance

1. Paper or memory

Free and fast, but it has to be copied somewhere later, and the copy is where errors and forgotten sessions creep in.

2. A shared spreadsheet

Better than paper because it adds up, but typing names into a sheet on a phone during a session is slow, and the sheet does not know anything about class packs or payments.

3. A WhatsApp poll

Good for knowing who plans to come. It does not tell you who actually showed up, and the results disappear into the chat.

4. An attendance app

You tick names on your phone at the session, or students check themselves in, and the record is stored, dated and linked to each student.

What a good attendance setup looks like

  • It takes seconds. Ticking a list on your phone, not typing.
  • Students can check themselves in, for example by scanning a QR code at the start of the session.
  • It updates class packs automatically, so each attendee’s balance goes down by one.
  • It handles capacity. If a session has limited spots, people book ahead and the rest go on a waitlist.
  • It shows trends: attendance over time, fill rate and who has not come in a while.

Bookings vs. attendance

Keep the two apart. A booking (or RSVP) says someone intends to come; attendance says they did. Bookings help you plan and enforce capacity; attendance is what should deduct a class. Mixing them up is how students end up charged for sessions they missed, or not charged for ones they attended.

How it works in Bootcamp Tracker

Each session has its date, time, place and optional capacity. Students book a spot from their phone, with an automatic waitlist when it fills up. At the session you mark who came, or students check in with the session’s QR code, and each attendee’s class pack is updated on the spot. If you use an AI assistant, you can even take attendance by asking ChatGPT or Claude.

Tips for outdoor and bootcamp sessions

  • Put the meeting point in the session itself so nobody has to ask where to go.
  • Close attendance at the end of each session, not at the end of the week.
  • Watch for regulars who stop showing up and message them early.
